Polite Clarification Phrases for Class and Office English

Learning polite clarification phrases is important because real English conversations are not always clear the first time. A teacher may speak quickly. A colleague may use a word you do not know. A customer may explain something in an unexpected way. In these moments, pretending to understand can create bigger problems.

Many Bangladeshi learners feel shy asking someone to repeat. They may say “What?” or stay silent. But in English, there are polite ways to ask again without sounding rude or weak. Good speakers clarify when they need to.

Use soft phrases instead of direct reactions

“What?” is not always wrong, but it can sound too direct, especially in an office, classroom, or formal situation. A better phrase is: “Could you repeat that, please?” It is simple, polite, and useful in almost any situation.

You can also say, “Sorry, I didn’t catch that.” This means you heard the person speaking, but you did not understand the exact words. Another natural option is, “Could you say that again?” These phrases are better than “Repeat again,” which sounds unnatural and can feel like a command.

Tone matters too. A polite phrase can sound rude if your voice is impatient. Say it calmly, with a small pause. You are not blaming the speaker; you are asking for help to understand.

Clarify meaning, not only sound

Sometimes you hear the words, but the meaning is still unclear. In that case, do not only ask the person to repeat. Ask them to explain another way.

Useful phrases include: “Do you mean…?”, “Could you explain that another way?”, “Can I check if I understood correctly?”, and “So, are you saying that…?” These phrases help you confirm the meaning.

For example, in class you might say, “Do you mean we should submit the homework by tonight?” In an office, you might say, “Can I check if I understood correctly? You want the report before lunch, right?” This prevents mistakes and shows responsibility.

Clarification is not a sign of poor English. It is a communication skill. Native and fluent speakers also ask for clarification when details are important.

Use repair phrases in IELTS Speaking too

In IELTS Speaking, you can ask for clarification when needed, especially if you did not hear the question clearly. You might say, “Sorry, could you repeat the question?” This is better than answering a question you misunderstood.

However, do not overuse clarification phrases to buy time. If you understand the question, answer it. If you need one second to think, use a natural thinking phrase such as, “That’s an interesting question.” But if you genuinely did not hear or understand, ask politely.

For Part 3, you can also clarify abstract questions: “Do you mean in terms of education or in general life?” This can help you answer more accurately, as long as you do not turn every question into a discussion before answering.

Practise in small daily moments

Choose three phrases and practise them for one week: “Could you repeat that, please?”, “Sorry, I didn’t catch that,” and “Can I check if I understood correctly?” Use them in low-pressure situations first, such as class practice, voice messages, or speaking clubs.
